What you will do
Nature and Scope of Responsibilities
Under the supervision of the manager(s) (department head or director), the assistant performs daily administrative tasks to ensure the smooth operation of the department(s) or service(s). They handle all administrative duties (calendar management, travel arrangements, communication, meeting preparation, reception, etc.) so that managers can focus on their core responsibilities. They organize and coordinate internal and external information, sometimes confidential, and may manage entire files. They are the first point of contact for employees and external relations (clients, suppliers, etc.).
Significant activities
- Manage the organization’s calendar and assist in scheduling internal/external meetings, individual or group appointments, physical, phone, or video conferences.
- Monitor and/or manage operating expenses (orders, bookings, budget tracking, re-forecasting).
- Facilitate daily operations for employees and managers by distributing relevant information.
- Collect and distribute agendas for meetings attended by the Director(s).
- Attend entity meetings and/or draft related minutes.
- Handle administrative processing of files and transmit information (emails, notes, shared spaces...) on behalf of the management.
- Ensure logistical support and material resources for the department (ordering supplies, PPE, small IT equipment...).
- Manage/organize event-related projects when necessary.
- Manage and update the department’s shared spaces.
- Organize travel for managers and other members of the management team (booking, visa applications, expense reports...).
Autonomy and freedom of action
- Under the supervision of the manager of the relevant scope.
- Independently carry out administrative actions.
- Report any relevant information or potential alerts gathered during interactions with stakeholders.
Anticipate the organization of meetings and follow-up topics.
Key Labour RelationsInternal:
- Department heads/unit managers to collect and transmit necessary data for the smooth operation and optimization of the department.
- Assistants from other entities to share key daily information and best practices.
- Communication department, if applicable, for information dissemination and event organization.
External (if applicable):

What we are looking for
General Skills:
- Proficiency in office and collaborative tools (Word, PowerPoint, Excel, Teams, etc.)
- Fluent professional level of English (written and spoken)
- Proficiency in French will be considered a plus.
