Nature and Scope of Responsibilities Exercised
Reporting to the Operations and Warehouse Manager, he/she will:
- Be responsible for managing and securing all logistics documentation and SAP transactions related to the operations of an Aftersales warehouse, in order to ensure the accuracy of physical and system flows, data reliability, regulatory compliance, and a high level of customer service throughout the lifecycle of spare parts.
Purpose of the Job:
- Ensure the timely delivery of required part number for products, materials and supplies to the afrersales logistics department, as requested by the projects or serial life modifications.
Main responsibilities:
Material/Part Master Data Management (S/4HANA)
- Maintain and validate Material Master data in S/4HANA, including:
o Basic Data
o Logistics (Warehouse / Storage Location views)
o Units of Measure (UoM)
o Packaging and handling attributes (To be decided after rewieving with Packaging team)
o Control material creation, extension, and changes using MDG or governance workflows
o Ensure material master data supports warehouse execution and Aftersales service
BOM (Bill of Materials) Management – SAP S/4HANA
- Create, update, and maintain Bills of Materials for:
o Kits, assemblies, service parts, and aftersales configurations
- Ensure BOM accuracy for picking, kitting, packing, and shipping
- Manage BOM versions, validity dates, and change history
- Coordinate BOM changes with Engineering, Procurement, and Warehouse Operations
- Analyze operational incidents caused by BOM errors and implement corrective actions
Packaging & Handling Data Governance (To be update after reviewing with Packaging team)
- Maintain accurate packaging data documentation (dimensions, weight, quantity per package, palletization)
- Validate that packaging instructions are correctly reflected in systems and documentation
Stock & Inventory Documentation
- Ensure proper documentation of stock movements and inventory adjustments
- Analyze inventory discrepancies related to master data or documentation errors
Compliance, Audit & Traceability
- Ensure documentation traceability for all warehouse documentation transactions
- Support internal and external audits (logistics, quality, financial)
- Maintain audit trails for BOM changes, part revisions, and documentation corrections
Cross-Functional Coordination
- Act as the interface between:
o Warehouse Operations
o Procurement & Supply Chain
o Engineering / Product Data (for BOM and part definitions)
o Customer Service / Aftersales
o IT / ERP / WMS teams
- Translate operational constraints into data and documentation requirements
Change Management & Continuous Improvement
- Assess the impact of part number, BOM, or documentation changes on warehouse operations
- Coordinate system updates linked to new parts, new BOMs, or revisions
- Propose improvements to documentation processes and data governance
- Support digitalization and automation initiatives (master data workflows, controls)
Risk Management & Service Protection
- Identify risks related to incorrect documentation, BOM errors, or part master data issues
- Prevent service disruptions caused by wrong part definitions or system inconsistencies
- Support customer protection by ensuring accurate documentation for deliveries and returns

Autonomy and Latitude of Action
- The Documentation Responsible operates with high autonomy in daily SAP S/4HANA documentation and master data management, medium autonomy in corrective actions and data changes, and limited autonomy in structural, contractual, or system-impacting decisions, within defined governance rules and approval workflows.

The position works in close coordination with internal stakeholders to ensure accurate documentation, master data governance, and smooth warehouse operations.
Warehouse Operations
- Daily interaction with inbound, storage, picking, packing, and outbound teams
- Coordination on documentation issues, posting errors, discrepancies, and corrective actions
- Support to warehouse supervisors on SAP-related execution topics
Aftersales / Customer Service
- Interface on documentation related to deliveries, returns, claims, and customer escalations
- Support customer protection and service level commitments through accurate data and traceability
Supply Chain & Planning
- Support planning activities through reliable master data and inventory accuracy
Procurement
- Coordination on goods receipt documentation, supplier returns, and master data consistency
Engineering / Product Data (if applicable)
- Coordination on part numbers, BOM structures, revisions, and supersessions
- Validation of BOM changes from an operational warehouse perspective
Finance / Controlling
- Interface on stock valuation, inventory adjustments, and audit documentation
- Support financial close and reconciliation activities related to logistics movements
IT / SAP Support
- Collaboration on SAP S/4HANA issues, defects, authorizations, and enhancements
- Participation in SAP projects, testing, and process evolution
Quality / Compliance / Audit
- Support internal and external audits
- Ensure documentation traceability and compliance with procedures and standards
Management
- Reporting on documentation quality, data issues, risks, and improvement actions
- Escalation of high-impact or systemic issues
External Relationships
The role interacts with external partners as required to secure documentation accuracy and operational continuity.
Logistics Service Providers (3PLs if needed)
- Coordination on SAP documentation execution and data accuracy
- Resolution of discrepancies related to inbound, outbound, and inventory movements
Transport Providers / Carriers
- Interface on shipping documentation, delivery confirmations, and claims support
- Documentation support for damages or shortages
Suppliers
- Coordination on receiving documentation, returns, and discrepancies
- Support master data and packaging information alignment
Customers (Indirect)
- Indirect interaction through customer service on documentation clarification and traceability
- Support resolution of documentation-related customer issues
Auditors / Regulatory Bodies (as required)
- Provide documentation, data extracts, and traceability evidence during audits
Skills and Knowledge Required for Holding the Job
SAP S/4HANA & Systems Knowledge
- Strong hands-on knowledge of SAP S/4HANA logistics modules, including:
o Materials Management (MM)
o Logistics Execution (Inbound / Outbound Deliveries, Material Documents)
o Inventory Management
- Knowledge of BOM management
- Understanding of material master data structure (Basic Data, Logistics views, UoM, packaging data if needed)
- Familiarity with SAP MDG or master data governance workflows (preferred)
- Knowledge of SAP integration with EWM / WMS (preferred)
Warehouse & Aftersales Logistics Knowledge
- Solid understanding of warehouse processes:
o Inbound, put-away, storage
o Picking, packing, kitting
o Outbound and returns
- Knowledge of aftersales logistics flows (spare parts, service parts distribution)
- Understanding of inventory control, cycle counting, and physical inventories

Required experience
Overall Professional Experience
- 4–7 years of professional experience in logistics, supply chain, or aftersales operations
- Proven exposure to end-to-end logistics flows, from inbound receipt to outbound delivery and returns
SAP & Systems Experience
- 3–5 years of hands-on experience using SAP in an operational logistics context
- Practical experience with SAP S/4HANA logistics processes, including:
o Goods Receipt / Goods Issue
o Inbound & Outbound Deliveries
o Stock Transfers and Inventory Adjustments
- Experience working with SAP Fiori apps preferred
- Exposure to SAP EWM or external WMS integration is an advantage
Documentation & Master Data Experience
- Proven experience managing logistics documentation in SAP
- Experience maintaining material master data (UoM, logistics views, packaging attributes if requested)
- Practical experience creating or maintaining BOMs for kits, assemblies, or service parts
- Experience analyzing documentation or data issues and implementing corrective actions
Cross-Functional & Project Experience
- Experience working cross-functionally with:
